Privacy Policy

1. Scope

This policy covers Tribal101.com, operated by Clear Health Pass Holdings, LLC, a Delaware limited liability company, d/b/a Tribal Economic Development Institute, acting solely in its capacity as authorized Tribal Agent, designee, or representative of one or more Domestic Sovereigns. It explains what we collect, why, and your choices. We do not sell personal information, and the Site carries no advertising or ad trackers.

2. What we collect

Account data: email address, display name, password (stored hashed), affiliation category, and any tribal government or corporate entity you associate with.

Social sign-in: if you sign in with Google, Facebook, or LinkedIn, we receive your name, email, and profile identifier from that provider. We never see your social-account password.

Identity verification (verified members only): Path A — your tribal enrollment number, encrypted at rest and deleted when your verification decision is made; never stored in plaintext and never present in logs, exports, or emails. Path B — an image of your tribal or government ID, stored outside web-accessible directories with restricted permissions, viewable only by authorized reviewers through an authenticated system, and deleted when your verification decision is made.

Activity records: actions you take as a member — petitions signed, tribes registered, positions submitted, events tracked, watchlist saves and removals, Academy module completions — logged with timestamps as a persistent audit trail visible to you in your Member Area.

Petition signatures: typed name, official title, nation/entity, timestamp, and the network (IP) address at signing. IPs are kept for audit and fraud prevention and never displayed publicly. Your name, title, and nation are displayed publicly only if you affirmatively elect public display when signing; otherwise, only aggregate signature counts appear publicly. Transmission of your signature to a petition’s named recipient is separate from public display and always occurs when you sign.

Communications: transactional email sending logs are retained 14 days. We do not send SMS and collect no text-messaging consent.

Technical: standard server logs (IP, user agent, pages requested) and session/authentication cookies. No third-party advertising cookies.

3. How we use information

To operate accounts and gated features; to verify member identity and enforce petition signature integrity; to transmit petitions and position letters you direct us to send; to moderate the Member Forum; to maintain the audit trail; to send transactional email (verification decisions, password resets, moderation notices); and to protect the Site (rate limiting, abuse prevention).

4. Sharing

We share information only with: (a) service providers that host and operate the Site (web hosting; Google Workspace for transactional email relay); (b) recipients you direct — a petition or letter you sign is transmitted to its named target with your name, title, and nation; and (c) authorities when required by law. We do not sell or rent personal information, ever.

5. Member Forum visibility

Forum content is visible to signed-in members per channel tier (general channels to email-confirmed members; working channels to tribal-verified members; leadership channels by affiliation). Forum content is not public to the open web.

6. Data respect and tribal sovereignty

The Institute operates on a nation-to-nation footing. Information about tribal governments in the Sovereign Registry is compiled from cited public sources. Data submitted by verified tribal representatives about their own nations remains subject to correction and removal requests from that nation’s authorized representatives, and we prioritize such requests. Verification documents establish identity only; they are not used for any other purpose.

7. Retention

Account data persists while your account is active. ID images: deleted on verification decision. Enrollment numbers: deleted on verification decision, the same as ID images. Petition signature records and the audit trail are retained as long-term records of coordinated action. Email logs: 14 days. Server logs: rotated monthly and deleted within 90 days.

8. Security

TLS sitewide; encryption at rest for enrollment numbers; verification files isolated from the web; role-restricted access; two-factor authentication on administrator accounts; rate limiting on authentication and petition endpoints. No system is perfectly secure; we will notify affected users of a breach as required by law.

9. Your choices

You may view your profile and activity log in the Member Area, update your information, and request account deletion via legal@tribal101.com. If you request deletion, we will delete your account data. However, your signature on any petition or position letter that has already been transmitted is part of the record of that transmitted document and is retained; and audit-trail entries necessary for signature-integrity and fraud-prevention purposes are retained in access-restricted form.

10. Children

The Site is not directed to anyone under 18 and we do not knowingly collect information from minors.
